Privacy Policy

About this policy

Last updated: 19/09/2026

Spoelklippie Gastehuis respects your privacy. This policy explains how we handle personal information when you visit our website, contact us, book accommodation or stay with us. It is based on South Africa’s Protection of Personal Information Act 4 of 2013 (POPIA).

Who is responsible and how to contact us

Spoelklippie Gastehuis is responsible for the personal information it processes for its accommodation services.

Address: 4 6A Street, Kleinsee, 5689, South Africa
Telephone: 083 412 9405
Email: az.oc.eippilkleopsobfsctd-84e786@snoitavreser

Please address privacy enquiries and requests to the Information Officer via these contact details. Use “Privacy / POPIA request” as your email subject and describe the information or assistance you need.

Information we collect and its sources

Depending on your interaction with us, we may receive your name, telephone number, email address, booking dates, guest numbers, room preferences, correspondence, billing details and payment or reservation references. We collect information directly when you contact or book with us, and may receive booking details from NightsBridge, a booking agent or the person arranging your group’s stay.

Website visits may generate technical information such as an IP address, browser and device details, pages visited, referral source and visit times through hosting logs and website statistics. Please share only information relevant to your enquiry. Do not email full card details, passwords or unnecessary identity documents. If we need additional identification or legally required guest information, we will explain the requirement when requesting it.

Why we use information

We use relevant information to answer enquiries, check availability, manage reservations and guest arrangements, communicate about your stay, reconcile payments, maintain business records, resolve complaints and protect our website against misuse.

Processing may be necessary to take steps towards or perform a booking contract, meet a legal obligation, protect legitimate business or guest interests, or act on your consent. We use consent where it is required, rather than treating a website visit as permission for every use of your information.

You choose whether to contact or book with us. Information needed to respond, confirm a booking or meet a stated legal requirement must be supplied for that purpose; without it, we may be unable to assist or provide accommodation. Optional preferences are voluntary.

Booking services and sharing

Our online booking links take you to NightsBridge. Information entered there is handled through that service and its applicable privacy notice. Review that notice before submitting booking or payment details. We remain responsible for our own use of booking information received from the service.

Access to guest information is limited to those who need it for the relevant task. Recipients may include authorised guesthouse staff, booking and payment providers, hosting and email providers, website support providers such as Biographix Web and Media, professional advisers and authorities where disclosure is legally required. Providers acting on our instructions must protect the information and use it only for authorised purposes. Personal information is not offered for sale.

Cookies, statistics and external content

Cookies are small files stored by your browser. Website security, login and session functions may use cookies; hosting logs and website statistics may also record technical usage information. External booking services and embedded media, where used, may collect data or set their own cookies under their own policies.

You can manage or delete cookies in your browser, although blocking them can affect some functions. Contact us if you need help understanding a specific cookie or service. Any use of personal information for optional tracking must have an appropriate lawful basis and, where required, consent. This policy does not itself constitute consent to optional tracking.

Direct marketing

Sending an enquiry or making a reservation does not automatically subscribe you to marketing. Booking confirmations and messages needed for your stay are service communications. Any electronic direct marketing must meet POPIA’s consent requirements or the limited existing-customer exception. You can object to marketing or withdraw marketing consent at any time using the contact details above, without a charge for opting out.

Children and sensitive information

An adult should arrange bookings involving children. Please provide only the details needed for the stay, such as guest numbers and relevant ages. Where a child’s personal information is required, it must be processed with the consent of a legally competent person or another authorisation permitted by POPIA.

If you choose to share health, accessibility or other sensitive information for a special arrangement, contact us directly and limit it to what is necessary. Such information requires an applicable POPIA authorisation and additional care.

Storage, security and international processing

Information is retained only as long as needed for the purpose collected, a booking or dispute, or applicable legal and record-keeping requirements. Records no longer needed must be securely deleted, destroyed or de-identified, subject to lawful retention requirements.

We are required to apply reasonable organisational and technical safeguards against loss, unauthorised access and unlawful use, and to require appropriate safeguards from operators. No transmission or storage method is completely risk-free. If a security compromise triggers POPIA’s notification requirements, we will notify the Information Regulator and affected people as required by section 22.

Some external technology providers may process information outside South Africa. Any transfer we make must satisfy section 72 of POPIA, for example through adequate legal or contractual protection, a necessary contractual transfer or valid consent. Contact us for information about providers relevant to your booking.

Your rights and requests

Subject to POPIA and other applicable law, you may ask whether we hold your personal information, request access, seek correction of inaccurate information, and request deletion or destruction of information that we are no longer entitled to retain. You may also object to processing on applicable grounds and withdraw consent for processing that relies on consent. Withdrawal does not invalidate earlier lawful processing.

Contact us using the details above. We may need reasonable proof of identity or authority before releasing information. We will explain any applicable procedure, lawful fee or reason why a request cannot be fully granted. Please tell us if your booking or contact details change.

You may raise concerns with us or lodge a complaint directly with South Africa’s Information Regulator.
